Slot-Based Workflow
The Rotation Workflow is the general guideline by which all rotations in myClinicalExchange are requested, scheduled, and tracked. Your workflow(s) determine your homepage's setup. Depending on your institution’s setup, you will initially use either the Traditional or Slots-Based Workflow to set up rotations and schedule your students.
If you school uses the Slot-Based Workflow, the hospital initiates the workflow by publishing its available rotation slots. As the Academic Coordinator, you then submit a request for one of those slots on your student’s behalf for their clinical rotation. You may need to identify and resolve slot conflicts with your fellow schools before the hospital will accept your slot requests. Once the hospital approves the schedule, you can link students to it.
As the Academic Coordinator, you actively participate in almost all the stages of the Slot-Based Workflow. Below is a summary of each stage in the Slot-Based Workflow.
Hospitals publishes their available slots for rotations.
Academic Coordinators review and request the available slots dates and times based on the needs of their students.
-
Hospitals may ask that you collaborate with other schools to resolve conflicting slot requests.
-
Academic Coordinators can use the Consortium Calendar to see if other schools have requested any of the same slots.
-
Academic Coordinators can then contact each other to determine who keeps which slots before the hospital approves the final slot selections.
Hospitals review the slot requests from the Academic Coordinators and either approve, deny, or return them.
Students or their school must register and pay for their myClinicalExchange accounts.
Academic Coordinators schedule their students into their approved slots for rotations.
-
Hospital Administrators send students their compliance information.
-
Students must complete compliance items before their rotations starts.
-
Academic Coordinators update and approve compliance items on their students' campus checklists.
Both hospitals and Academic Coordinators use the Rotation Manager to review student compliance items. This step ensures students are ready and compliant for their upcoming rotations.
